WedFlow — Wedding Planner SaaS & Wedding Website

Description
A wedding, composed.
WedFlow Atelier is a complete, self-hosted wedding-planning platform with the polish of a private studio and the depth of a real SaaS product. Couples, planners and their collaborators get one calm workspace for the budget, the guest list, the seating chart, the RSVPs, the public wedding site, the gift registry and the guest photo & video gallery.
Drop the zip on a $5 shared host. Run the in-browser install wizard. Sell subscriptions to clients or run it for your own weddings — your call. One-time licence, no subscription, no central SaaS, and the full unobfuscated source.
Why buy this instead of subscribing to one?
Hosted wedding-planning tools charge per planner, per month, forever, and your client data lives on someone else’s server. WedFlow is a one-time licence for software you host, brand as your own, and keep. A single season of a subscription typically costs more than this licence — and at the end of it you own nothing.
- No subscription. Buy once, run it for as many weddings as your plan limits allow.
- Your server, your data. Nothing phones home. No central service to shut down.
- Full source. Unobfuscated Laravel 13 + React 19 + TypeScript, yours to modify.
- No Node.js on your server. The zip ships a pre-built front end — no build step in production.
Who is WedFlow for?
- Wedding planners & agencies — run every client wedding in one workspace under your own brand, with per-section permissions for couples, family and vendors.
- SaaS operators — sell Free / Premium / Planner subscriptions. Billing, plan limits and an analytics dashboard are already built.
- Developers — a real, readable codebase to ship for a client, not a themed CRUD demo.
- Couples — self-host the whole thing for one wedding and pay nothing monthly.
01. Complete wedding planning — 18 sections
Every wedding opens on a dashboard: countdown, budget spent, guest and RSVP counts, seated progress, and a tile for each of the eighteen planning sections.
- Checklist — 9 phases, 43 seeded tasks, from “12+ months before” through “After the wedding”. Rename, hide or add phases; progress tracked per phase.
- Budget — categories with planned vs. actual, a spend donut, and a separate vision/inspiration budget.
- Vendors — research with 0–5 star ratings and side-by-side comparison on price, rating, status and contact, plus booked-vendor tracking.
- Inspiration — a mood board for the look and feel.
- Menu — upload menu pages in a drag-to-reorder section; guests see them behind the QR.
02. Guests & RSVPs — down to the individual attendee
- Per-member RSVP — guests tick who in their party is coming, with a meal choice and dietary note per attendee. The couple see real “4 / 5” attendee counts, not a yes/no per household.
- Guest list — party counts, dietary notes, sides, save-the-date and invite tracking.
- Caterer report — per-member meals and allergies aggregated into the form a caterer actually asks for: “24 beef, 11 vegetarian, 3 allergies”. Exports to PDF or Excel.
- Customisable RSVP page — theme, fonts and button shape, with live preview.
03. Seating chart & 2D/3D floor planning
- Drag-and-drop seating — move guests onto tables with capacity tracking, then print a seating chart or per-guest QR place cards.
- Real-time 3D floor plan — a 2D/3D room editor built on React Three Fiber. Arrange tables, dance floor, DJ booth, bar and décor, and walk the room before anyone stands in it.
04. Nine wedding-website themes
Every wedding gets a public site at /w/your-names with the story,
schedule, registry, guestbook and RSVP.
- Nine themes — Lumière, Marquee, Botanica, Soirée, Rose, Garden, Minimal, Luxe and Coastal.
- Four are premium-gated (Lumière, Marquee, Botanica, Soirée) — so as an operator you have something to put behind your paid tier from day one, enforced server-side.
- Editable content — hero, story, schedule, registry and more, per section, with a published/unpublished toggle.
05. One QR code for the whole guest experience
Every wedding gets a single guest page behind one QR code, where guests:
- Find their seat — scan → search their name → their table, shown on the floor-plan diagram.
- Add to the gallery — upload photos and videos (write-only; only the couple see them).
- View the menu — uploaded menu pages in a carousel with tap-to-zoom.
- Send a gift — registry items and cash / honeymoon funds.
- Sign the guestbook — a public message wall the couple moderate.
- Leave a memory — record a video or voice message right in the browser. No app, no plugin.
06. Guest photos & video memories
- Photo gallery — guests upload from the QR page; the gallery is private to the couple and paginated.
- Guest memories — a video and voice guestbook recorded in-browser, also private to the couple.
- Storage caps per plan — enforced server-side, overridable per plan from the admin panel.
07. Gift registry, cash & honeymoon funds
- Wishlist items — image, store link, note, price and quantity. Guests reserve an item so no two people buy the same thing.
- Named fund goals — “Flights to Bali”, “The cooking class” — each with a target amount and a progress bar.
- Card contributions — guests contribute by card through the couple’s own connected account. The money goes to the couple, not through you.
- Shows on the public wedding site across every theme, and on the guest page’s Gifts tab.
08. Public guestbook
Guests leave well-wishes from the shared guest page or the public site. The couple approve, hide or remove them from a moderation queue, so nothing appears unread. Bodies are sanitised on save.
09. Music, song requests & the DJ view
- Build the reception setlist slot by slot — First Dance, Father–Daughter, Cake Cutting — with song, artist, time and notes, drag to reorder.
- A searchable catalogue of 258 curated wedding songs ships with the platform.
- Guests request songs from the RSVP page; the couple approve or decline each one.
- The DJ gets a read-only view — invite them as a vendor-role collaborator and they see the setlist and the approved requests, and nothing else in the wedding. They cannot change a thing.
10. Timeline & calendar export
- Day-of schedule that also renders on the public wedding site.
- Calendar export (.ics) — the timeline and checklist due dates drop straight into Google Calendar, Apple Calendar or Outlook.
11. Reach every guest — email, SMS & WhatsApp
- Branded email — save-the-dates and invitations via Resend or SMTP, with editable templates and live preview.
- Guest broadcast — message the whole list or a filtered slice of it (attending, not yet replied, one table) over email, SMS or WhatsApp.
- Automated RSVP reminders — a queued nudge to whoever has not replied, N days before your deadline.
- Four SMS providers — Twilio, Vonage, MessageBird and Plivo. No lock-in; the module stays inert until you add keys.
12. Wedding crew & collaboration
- Invite collaborators by email with a 7-day token — no account required up front.
- 5 roles × 18 sections × read / write / none — a full permission matrix. A vendor sees the timeline and nothing else; family see the guest list but not the budget.
- Wedding crew — bridal party, vendors and day-of contacts with roles and responsibilities.
- Only the owner can invite, change roles or edit permissions.
13. Multi-tenant SaaS platform
- Every wedding is owned by one account; everyone else joins as a collaborator.
- Free / Premium / Planner plans with caps on weddings, guests, collaborators, storage and registry items.
- Every cap is overridable per plan from the admin panel — no code, no redeploy. Limits are enforced server-side, not hidden in the UI.
14. Subscription billing — nine payment gateways
- Stripe, PayPal, Paystack, Flutterwave, Razorpay, Mollie, Mercado Pago, Paddle, or offline bank transfer with manual approval.
- Paddle is a merchant of record — it handles global sales tax and VAT for you, which matters if you would rather not register for VAT yourself.
- Enable any combination; buyers pick at checkout. Webhooks are signature-verified.
- Coverage for Africa (Paystack, Flutterwave), India (Razorpay), Latin America (Mercado Pago) and Europe (Mollie, Paddle) — not just Stripe.
15. Operator analytics
A dashboard built for the person selling the platform, not planning a wedding: total users and signups in the last 30 days, active weddings, guests, storage used, revenue broken out by gateway, plan distribution, and a recent-signups feed.
16. A browser-based admin panel
- White-label branding — app name, logo, favicon, landing hero, gallery photos and the sign-in image.
- Ten landing-page designs, admin-switchable with one-click preview — Atelier, Ivory, Cinema, Split, Editorial, Minimal, Gilded, Folio, Portrait and Deco — so your marketing homepage does not look like every other buyer’s.
- Editable legal pages — Privacy, Terms, Refunds and your own custom pages, per language, sanitised on save and linked in the footer automatically.
- Mail, storage, OAuth and gateway settings — all from the browser. No
.envediting in production. - User management — plans, verification, suspension, admin rights.
17. Multi-language & full right-to-left support
- English and French ship complete, with an in-app switcher.
- Add any language from the admin panel and edit every string in the browser — no code, no redeploy.
- Right-to-left languages mirror the entire interface — Arabic, Hebrew, Farsi, Urdu and more. The RTL flag is detected from the language code, with an app-wide force-RTL toggle. Spatial surfaces like the 3D floor plan stay left-to-right, as they should.
18. Data export
Every list exports to a print-ready PDF or a real .xlsx workbook: guests, vendors, budget, checklist, timeline, seating, crew and the caterer’s meal report. Plus calendar .ics export for the timeline.
19. Installation takes four steps in a browser
- Upload and open
/install. - The wizard checks PHP, extensions and folder permissions.
- Choose SQLite (nothing to configure) or enter MySQL / PostgreSQL credentials — it tests the connection before continuing.
- Create your admin account. Migrations run; optionally seed a complete demo wedding.
No SSH, no terminal, no build step. cPanel buyers are live in five minutes.
20. The Atelier design system
WedFlow does not look like a SaaS template — it looks like a private studio. Calm over colourful. Typography-led: Playfair Display over warm ivory, espresso and brushed gold. Light and dark themes come from one set of CSS variables, so you can re-theme the entire application by editing tokens.
21. Technology stack
- Backend — Laravel 13, PHP 8.3+, Inertia.js 3
- Frontend — React 19, TypeScript, Vite 8, Tailwind CSS 4
- 3D — React Three Fiber + Drei

- SQLite, MySQL 8+, or PostgreSQL 14+
- Composer 2.x (first install only)
- Works on shared cPanel hosting — a VPS is not required
24. Frequently asked questions
Do I need a VPS? No. Shared cPanel hosting with PHP 8.3 is enough. There is no Node.js step and no build process on the server.
Can I sell subscriptions with this? Yes — that is what the Extended Licence covers. Billing, plan limits and the analytics dashboard are built in.
Is the source obfuscated or encoded? No. Full, readable Laravel and TypeScript source, yours to modify.
Does it lock me into one payment provider? No. Nine gateways ship and you enable any combination. Guest gift contributions go to the couple, never through you.
Can I remove your branding? Yes. App name, logo, favicon, landing imagery and the sign-in image are all set from the admin panel.
Can I run more than one wedding? Yes — the Planner plan is unlimited, and you set every plan’s caps yourself.
How do updates work? Free for life. Download the new zip, replace the files, run one migration command. The upgrade guide covers each version.
What if I get stuck? Six months of support is included. Documentation covers installation, deployment, upgrades and day-to-day use.
25. Licence
Regular Licence — use it for one end product that you or a single client uses. Free for end users. Extended Licence — use it for one end product that end users can be charged for. If you are selling subscriptions, you want the Extended Licence.
