Requirements

PHP 8.1 and Above, MySQL, HTML5, CSS3, JavaScript & Bootstrap Enabled  Environment.

Instructions

Step 1: Create the Database on Hosting

Live servers do not let you create databases via code easily. You must use the hosting control panel.

  1. Log in to your cPanel.
  2. Search for MySQL® Databases.
  3. Create a Database: Name it (e.g., yourname_gym_db).
  4. Create a User: Create a specific user (e.g., yourname_gym_admin) and a strong password.
  5. Add User to Database: Select the user and database you just created, click Add, and check ALL PRIVILEGES.

Step 2: Import the SQL

  1. Go back to cPanel and open phpMyAdmin.
  2. Select your new database on the left.
  3. Click the Import tab at the top.
  4. Choose the SQL file you generated (or use the SQL code provided in our previous steps).
  5. Click Go.

Step 3: Update the Connection File (config/db.php)

On a live server, the username is almost never root and the password is never empty.

$host = 'localhost';

$db   = 'yourname_gym_db';    // The full name from cPanel

$user = 'yourname_gym_admin'; // The full name from cPanel

$pass = 'your_strong_password';

Step 4: Upload the Files

  1. Open File Manager in cPanel.
  2. Go to the public_html folder (this is your website's root).
  3. Upload your gym folder here.
    • If you want the gym system to be your main website (www.yoursite.com), upload the contents of the folder directly into public_html.
    • If you want it at www.yoursite.com/gym, upload the folder as is.

Step 5: Update the QR Poster Logic (qr_poster.php)

On localhost, we used the IP address. On hosting, we use your Domain Name. Update the URL logic in qr_poster.php:

codePHP

<?php

// Change this line in qr_poster.php

$domain = $_SERVER['HTTP_HOST']; // This automatically gets your domain (e.g. mysite.com)

$checkinURL = "https://" . $domain . "/gym/checkin.php";

// Note: Use https if you have an SSL certificate

?>

Step 6: Production Security Hardening

Since your site is now live, hackers can try to find it. Do these three things:

1. Force HTTPS (.htaccess)

Create a file named .htaccess in your public_html folder and add this to ensure all traffic is encrypted:

codeApache

RewriteEngine On

RewriteCond %{HTTPS} off

RewriteRule ^(.*)$ https://%{HTTP_HOST}%{REQUEST_URI} [L,R=301]

2. Disable Error Reporting

You don't want hackers to see PHP errors. In your cPanel, find Select PHP Version -> Options and turn off display_errors.

3. Protect your Config folder

Create another .htaccess file inside your /config/ and /includes/ folders with this line:

codeApache

Deny from all

###i/i###yoursite.com/config/db.php to see your database setup.

Step 7: Testing

  1. Visit https://yourdomain.com/gym/login.php.
  2. Log in with admin / admin123.
  3. Go to Settings and update your Gym Name and Address.
  4. Test the Database Backup to ensure the server allows file downloads.

You are now live! Your gym owner can now access the system from anywhere in the world on their phone or laptop. Would you like help setting up a Cron Job so the server automatically checks for expired memberships every night?
